The Device Locker user guide is for two audiences:
Device Users - frontline employees who check out and return shared devices
Administrators - store or facility admins responsible for registering devices, managing device status, and reviewing reports
For Device Users
How Device Locker Works
Device Locker is an app that uses BLE and Wi-Fi to detect and manage enrolled devices in your environment. It works independently of any specific physical infrastructure, i.e., your facility may use physical lockers, ports, docking hardware, or none at all. When you check out a device and complete login, Device Locker records the check-out and marks the device In Use. When you return and check in, your session ends, the device logs you out, and it becomes available for the next user.
Note: Devices must remain powered on for Device Locker to detect and track them. Do not remove the battery.
Checking Out a Device
There are three ways to check out a device, depending on how your environment is configured. In every method, the device shows as In Use only after you complete login.
Option A - Pick Up and Log In
Pick up an available device from its storage location (locker, port, dock, or shelf).
The device prompts you to log in.
Sign in with your credentials.
After a successful login, Device Locker records the check-out and the device status updates to In Use.
Option B - NFC Badge Tap with Device Login
Tap your NFC badge on the device running Device Locker to start the check-out.
Device Locker assigns an available device to you and sends the assignment details to that device.
Pick up the assigned device and enter your PIN, or use facial recognition.
After a successful login, Device Locker records the check-out and the device status updates to In Use.
Option C - NFC Badge Tap with PIN on Device Locker
Tap your NFC badge on the device running Device Locker to start the check-out.
Enter your PIN on the Device Locker screen when prompted.
Device Locker assigns an available device to you and sends the assignment details to that device.
The assigned device logs in automatically and enters a reauthentication lock state.
Pick up the assigned device and re-enter your PIN, or use facial recognition, to unlock it.
After you unlock the device, Device Locker records the check-out and the device status updates to In Use.
Note: In Options B and C, tapping your NFC badge starts the check-out and assigns a device. You still complete login on the assigned device before it becomes fully active.

FAQs
How do I get a device?
Either pick up an available device and log in, or tap your NFC badge to have one assigned to you. After you log in, the device is checked out to you.
Which device am I supposed to take?
If you tap your badge, Device Locker assigns a specific device and shows you which one to take.
Do I have to use the device assigned to me, or can I take any device? When a device is assigned through a badge tap, take that device so the records stay accurate. If no device is assigned, any available device works.
What if my badge does not work or nothing happens when I tap it? Your badge may not be enrolled in the identity system. Try again, then contact your IT administrator to confirm your badge is enrolled.
What if the assigned device is missing, dead, or damaged? Do not use it. Return to locker and request another device, or pick up a different available one. Report the issue so an admin can update that device's status.
Why do I still need a PIN or Face Recognition after I badge in? The badge tap starts the check-out and assigns a device. You confirm your identity on the device with a PIN or Face Recognition before it becomes active. This keeps the device tied to the right user.
How do I know the device was successfully checked back in?
After you select Check In, the device logs you out and its status returns to Available. That confirms the check-in is complete.
What happens if I forget to return the device?
The device stays marked In Use under your name. If it is not detected within the configured time period, it shows as Missing / Not Reporting, and an admin can follow up.
NFC Badge Checkout FAQs
What happens after I tap my badge? Device Locker identifies you, assigns an available device, and sends the assignment details to that device.
How do I know which device was assigned to me? Device Locker shows the assigned device after your badge tap so you know exactly which one to pick up.
Do I have to take the device assigned to me? Yes. Take the assigned device so the check-out records stay accurate.
Why do I still need to enter a PIN or use Face Recognition on the device? The badge tap starts the check-out, but you confirm your identity on the device itself. This step ties the device to you before it becomes active.
When is the device officially checked out to me? Once you complete login on the device with your PIN or Face Recognition. The status then updates to In Use.
What if the assigned device is not there or cannot be used? Return to Device Locker and request another assignment. Report the unavailable device so an admin can update its status.
What happens when I return the device? Device Locker detects your device by BLE and prompts you to check in or continue your session.
Will Device Locker log me out automatically when I return the device? When you select Check In, the device logs you out and returns to Available for the next user.
Admin FAQs
How is a device assigned to a user?
After a user taps their badge, Device Locker selects an available device and sends the assignment to it. The user completes login on the device to finish the check-out.
Can devices be assigned by department, role, location, or shift? Yes. You can configure assignment rules to match how your teams and shifts are organized.
Can one user check out devices from multiple departments or units? Yes, if you set up their access that way. You control which pools each user can draw from.
How can I confirm a device was actually returned? A returned device logs the user out and shows as Available. Reports also record the check-in time for every device.
Can I see current device status in real time? Yes. The device list shows live status, including Available, In Use, Charging, and Missing / Not Reporting.
Can Device Locker track overdue, misplaced, or missing devices? Yes. Devices not detected within the configured time period show as Missing / Not Reporting, and you can use Find Device, Ping Device, and BLE distance to locate them.
How are alerts and notifications triggered? Alerts fire when a device goes overdue or stops reporting. You can set who gets notified for these events.
Is there an audit trail of check-out, login, logout, and return events? Yes. Reports capture device IDs, the users involved, and check-out and check-in times, giving you a full usage history for accountability and chain of custody.
